COMMITTEE TEAM

Carol Robinson - Chairman

Objective: To oversee the effective running of the society, both short term and long term, and to represent the society publicly.

The Chair person will ensure this through:

  • Planning the AGM and EGMs according to the constitution
  • Chairing committee meetings
  • Representing the society
  • Dealing with dignitaries
  • Appointing the Show Reading committee

Representing the society includes putting the society’s case to official bodies and speaking on its behalf.
Dealing with dignitaries includes:
Appointing the show critic
Notifying the society president of their appointment as president
Liaising with the NODA rep
Approving requests for complimentary tickets
General meeting and greeting.

Once appointed, the Show Reading committee is responsible to the Chair for:
Requesting librettos and scores for show selection purposes
Researching the shows and making a report
Final show-selection for at least two years ahead

Tracey Fryer - Secretary

Objective: To ensure the effective administration of the society.

The Secretary will do this through:

  • Bookings and contracts
  • Minutes of meetings
  • Child licences and chaperones*
  • The constitution
  • Ad hoc tasks

Bookings and contracts includes:
Booking rehearsal venues
Researching, negotiating and booking performance venues and facilities
Booking a show director, musical director, rehearsal pianist and choreographer
Booking AGM /EGM and main committee venues
Organising show contracts
Organising all insurances
Health and safety
Seeking permission for show videos

Minutes of meetings includes:
Arranging main committee meetings as required
Producing and distributing the minutes of main committee meetings
Notifying members of AGM/EGMs according to the constitution
Producing and distributing the minutes of AGM/EGMs


Child licences and chaperones includes:
Organising licences for all under-16 members of a production
Arranging appropriate male/female chaperones for the above
Ensuring a separate changing area for male/female under-16s

Responsibility for the constitution includes:
Keeping it up to date
Ensuring that it meets legal requirements
Publicising it to members

Ad hoc tasks includes:
Letters of thanks
Organising gifts and cards
Maintaining the notice board
Contacting NODA and reviewing membership benefits
Organising and maintaining storage for costumes
Organising and maintaining storage for scenery and props


Debbie Greenwood - Treasurer

Objective: To ensure that the finances of the Society are managed in a way that meets legal requirements and good business practice and that members of the Society are aware of its current financial situation.

The Treasurer will ensure this through:

• The preparation of financial forecasts to support the Society’s long term strategy
• The preparation of operational budgets, including show budgets
• Opening and maintaining bank accounts
• Organising and maintaining the investment of Society monies
• Keeping books

Operational budgets include planning and making payment for:
Meeting and rehearsal rooms, and audition venues
Rehearsal /audition pianist
General postal and communication expenses
Photocopying
Society gifts and cards
Member recruitment
Member development strategy
Corporate entertainment
Patron benefits

Kathy Rawles - Show Production Officer

Objective: To ensure that Society’s productions are planned and managed effectively, so that all resources are optimised, good communications are maintained, and the committee is kept informed of progress.

The Show production Officer will be responsible for:

• Appointing key show personnel e.g. director, MD
• Appointing key back stage personnel and technicians
• Music and orchestra
• Lights and sound
• Costumes and wigs
• Make-up
• Scenery
• Props
• Cast communication

Appointing key show personnel includes:
Researching and negotiating with the show director
Agreeing rehearsal requirements with the show director
Researching and negotiating with the musical director
Communicating rehearsal requirements to the musical director
Researching and negotiating with the choreographer
Communicating rehearsal requirements to the choreographer
Researching and negotiating with the rehearsal pianist
Communicating rehearsal requirements to the rehearsal pianist
Assigning assistants to the director, MD, choreographer and pianist as required.

Appointing key back stage personnel includes appointing the prompt.

Music and orchestra includes:
Ensuring that the MD chooses an orchestra structure
Ensuring that the MD appoints musicians
Arranging orchestral lights, stands and other equipment
Hiring orchestra scores
Collecting and returning orchestral scores
Photocopying music for shows
Requesting show scores/music and librettos

Lights and sound includes ensuring that the following are done:
Designing the lighting
Rigging and plotting the lights before and de-rigging after a show
Booking microphones and lighting equipment as required
Rigging and de-rigging the sound system
Operating the lights
Operating the sound system

Costumes and wigs includes:
Appointing a wardrobe manager
Appointing a wardrobe team (seamstresses, dressers, rails)
Ensuring the design of costumes and wig plot
Taking cast measurements
Co-ordinating the making /hiring of costumes
Collecting and returning costumes
Arranging costume fittings
Hiring and dressing of wigs
Collecting and returning wigs

Make-up includes:
Maintaining make-up stock
Obtaining specialist items for a show
Organising make-up application

Scenery includes:
Appointing a stage manager and crew
Ensuring that the scenery is designed
Ensuring construction/hire of scenery
Ensuring dismantling/return of scenery

Props includes:
Appointing a prop manager
Ensuring the creation of a props list
Ensuring props are sourced/made
Ensuring the dismantling/return of props

Cast communication includes:
Publicising the rehearsal schedule and requirements (e.g. people needed, in costume etc)
Informing the cast about the code of practice/theatre rules and health and safety
Arranging the opening and closing of the rehearsal hall
Keeping an attendance-register

 

Denyse Coles - Membership & Patrons Officer

The Members and Patrons Officer will be responsible for:

• Auditions
• Membership administration

Ensuring that the director and MD select auditions cuts (music, libretto, dance)
Printing and distributing audition cuts
Distributing and collecting audition forms
Choosing the audition panel
Booking the audition panel
Booking the audition venue
Booking the audition pianist
Arranging readers-in
Communicating directions to the audition venue
Producing a list of auditionees
Opening and closing the audition venue
Announcing the audition protocol
Producing the cast list
Communicating the cast list to auditionees
Printing and displaying the cast list

Membership administration includes:
Welcoming new members
Ensuring that members are allocated to teams
Creating and maintaining a membership database
Creating and maintaining a members pack
Creating and distributing a newsletter
Organising the audition of new members (singing, acting, dancing)
Organising and allocating voice ranges (SATB)

Patrons includes:
Organising pre-ticket sales (patrons and cast)
Recruiting patrons
Creating and maintaining patrons application form

Reviewing patron benefits (e.g. Patrons night)
Printing/sending patron communications.

Creating and implementing a membership development strategy.

Linda Bagnall - Theatre Officer

The theatre Officer will be responsible for:

• Box office and tickets
• Front of house
• Programmes
• Photographer and videographer

Box office and tickets includes:
Researching and organising the box office
Seating plan
Arranging ticket production
Box office liaison (ticket sales and audience information)
Picking up the tickets to take to the theatre
Sending a ticket to the show critic
Agreeing recipients of other complimentary tickets with the Chair
Sending out other complimentary tickets

Front of house includes:
Appoint bar manager/staff
Buying drinks and hiring glasses
Organising the petty cash float
Maintaining raffle and ticket book stock
Organising raffle ticket sellers
Organising and collecting raffle prizes
Holding the raffle
Organising theatre ticket sellers for the performances
Organising theatre ticket checkers for the performances
Organising programme sellers
Organising a health and safety speaker
Setting out and numbering the seats
Organising front of house signs (toilets)
Designing the front of house display
Constructing the front of house display
Representing the society front of house
Clear up theatre front of house

Programmes includes:
Designing and editing the programme

Collection/delivery of programmes to the theatre
